Privacy Policy

Turfile Technologies Inc. (“Turfile,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, store, disclose, and protect information when you access or use our website, web platform, mobile applications, and related services, including Turfile’s map-based property management tools, mobile companion apps, administrative tools, and support services.

This Privacy Policy applies to all users of Turfile, including account owners, invited team members, administrators, customers, website visitors, and people who contact us through our website or support channels.

Turfile is intended for business and professional use. It is not directed to children.

1. Information We Collect

We collect information that you provide directly, information generated through your use of Turfile, and limited technical information needed to operate and improve the service.

Account Information

When you create, access, or are invited to a Turfile account, we may collect information such as:

  • Name

  • Email address

  • Phone number

  • Profile photo

  • Organization or company affiliation

  • Property or team membership

  • User role and permissions

  • Invite status

  • Account activity and timestamps

Turfile uses third-party authentication services to manage account access. We do not store payment card numbers or raw account passwords in our own application database.

Property, Map, and Operational Data

Turfile is a map-based operational platform. When you use the service, you or your team may create, upload, or manage information related to a property, golf course, or outdoor worksite, including:

  • Property names, boundaries, locations, and map settings

  • Holes, areas, departments, or property sections

  • Irrigation assets, valves, heads, pipes, wires, controllers, pumps, and related infrastructure

  • Drainage systems, trees, bunkers, landscape assets, and other mapped objects

  • Custom object types, layers, labels, notes, logs, issues, inspections, and assignments

  • Uploaded photos, documents, imagery, map files, and related attachments

  • Created-by, updated-by, and timestamp information

This information is used to provide Turfile’s mapping, record keeping, collaboration, inspection, issue tracking, and field management functionality.

Location Information

If you use a Turfile mobile application and grant location permission, the app may access your device’s location while you are using the app.

Location information is used to support map positioning, field workflows, and placing or updating objects on the map. For example, if you create a mapped object using your current location, the coordinates of that object may be saved as part of the property record.

Turfile does not use location data for advertising. Turfile does not intentionally track continuous live location, background location, movement history, routes, or check-ins.

You can disable location access at any time through your device settings.

Uploaded Files and Images

Users may upload files or media to Turfile, such as photos, documents, property imagery, map files, or other operational records.

Uploaded files may be stored in cloud storage and may be used to generate previews, thumbnails, map tiles, or other derivative files needed to display the content inside Turfile.

Files are intended to be private to the relevant account, property, or authorized users, subject to the access permissions configured in the service.

Website Forms and Communications

If you contact us through our website, request a demo, submit a form, book a call, or otherwise communicate with us, we may collect information such as your name, email address, company, role, message content, and any other information you choose to provide.

Website form submissions may be sent to email, stored in business tools such as Airtable, or used to respond to your inquiry. If you submit your contact information, we may use it to follow up with you about Turfile.

Billing Information

Turfile uses Stripe to process subscription payments and billing. Stripe may collect and process payment details, billing information, card information, tax information, invoices, and related payment data.

Turfile may store billing-related metadata such as your plan, subscription status, Stripe customer ID, subscription ID, billing status, and invoice status. Turfile does not store full credit card numbers, CVC codes, or bank account details on its own systems.

Technical and Usage Information

We may collect limited technical information needed to operate, secure, troubleshoot, and improve Turfile, such as:

  • Device type

  • Browser type

  • Operating system

  • App version

  • Log data

  • Error or diagnostic information

  • Push notification tokens

  • General usage activity within the service

This information helps us maintain platform reliability, improve performance, and provide support.

Website Analytics and Cookies

Turfile uses Google Analytics and may use cookies or similar technologies on our website to understand website traffic, improve our website, and measure how visitors interact with our pages.

We use a cookie banner where required or appropriate. You may be able to manage cookie preferences through the banner or through your browser settings.

Turfile does not sell personal information and does not use customer property data for behavioral advertising.

2. How We Use Information

We use information to:

  • Provide, operate, and maintain Turfile

  • Create and manage user accounts

  • Authenticate users and protect account security

  • Display maps, property records, uploaded files, and operational data

  • Enable team collaboration, assignments, inspections, logs, and issue tracking

  • Process subscriptions and billing

  • Send account, invite, password reset, billing, support, and operational notifications

  • Respond to inquiries, support requests, and demo requests

  • Improve reliability, performance, and usability

  • Detect, prevent, and respond to abuse, fraud, security issues, or technical problems

  • Comply with legal obligations

  • Enforce our Terms of Service or other agreements

We may use contact information submitted through our website to respond to inquiries and follow up with potential customers.

Turfile does not currently send marketing newsletters. If we introduce marketing emails in the future, we will provide a way to unsubscribe.

3. Operational Notifications

Turfile may send emails, in-app notices, or push notifications related to your account or property activity. These may include:

  • Account invitations

  • Password reset messages

  • Property or team updates

  • Task assignments

  • New issues

  • Work or inspection-related notifications

  • Billing or subscription notices

  • Security or support messages

These notifications are intended to support the operation of the service.

4. Image Processing and Segmentation

Turfile may include image-processing or segmentation tools that help users identify, outline, or create map features from images or map views.

When you use these tools, the relevant image or map content may be processed to provide the requested feature. Segmentation images are not stored by the segmentation service after processing.

Turfile does not currently use OpenAI or AI chat functionality in the live product. If we introduce additional AI features in the future, we may update this Privacy Policy to explain how those features work and what data they process.

5. How We Share Information

We may share information with trusted service providers that help us operate Turfile. These providers may process information only as needed to provide services to us.

Examples include:

  • Cloud hosting, database, storage, and infrastructure providers

  • Authentication providers

  • Mapping and geospatial service providers

  • Payment processors

  • Email and communication providers

  • Analytics providers

  • Scheduling and business workflow tools

  • Mobile platform providers for app distribution and notifications

We may also disclose information if required by law, court order, legal process, or if we believe disclosure is necessary to protect the rights, property, safety, or security of Turfile, our users, or others.

We do not sell personal information.

6. Internal Access

Authorized Turfile personnel may access customer account information, property data, uploaded files, billing status, and related backend records when necessary to provide support, troubleshoot issues, maintain the service, prevent abuse, improve reliability, or comply with legal obligations.

Turfile administrators may access saved backend data, but they do not use customer credentials or impersonate users to enter a customer account as that user.

7. Data Retention and Deletion

We retain information for as long as reasonably necessary to provide the service, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, and support security or operational needs.

If a customer cancels or unsubscribes from Turfile, their data is not automatically deleted unless deletion is requested.

If a user requests deletion of a property, Turfile may contact the user by email to confirm the request. If no response is received, Turfile may apply a 24-hour grace period before deleting the associated property data, photos, accounts, and related records.

Some information may be retained where necessary for legal, billing, security, backup, fraud prevention, dispute resolution, or compliance purposes. For example, payment records may continue to be retained by Stripe or other providers according to their own legal and operational requirements.

Turfile does not currently offer a self-serve full data export feature.

8. Security

Turfile uses reasonable technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

These safeguards may include:

  • Secure cloud hosting

  • HTTPS/TLS encryption in transit

  • Provider-level encryption at rest

  • Authentication controls

  • Role-based access controls

  • Property-scoped permissions

  • Private file storage and signed access links where appropriate

  • Database and storage security rules

  • Operational monitoring and support processes

No method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security, but we work to protect customer information using commercially reasonable safeguards.

9. International Storage and Processing

Turfile is based in Canada and may use service providers located in Canada, the United States, or other jurisdictions.

By using Turfile, you understand that your information may be transferred to, stored in, or processed in countries outside your province, state, or country of residence. These jurisdictions may have privacy laws that differ from those in your location.

10. Your Choices and Rights

Subject to applicable law, you may request to access, correct, or delete certain personal information. You may also contact us with questions about how your information is collected, used, or stored.

  • Manage location permissions through your device settings

  • Manage cookie preferences through your browser or our cookie banner, where available

  • Contact us about account or property deletion requests

  • Contact us about privacy-related questions or concerns

Some requests may be limited by legal, billing, security, or operational requirements.

11. Children’s Privacy

Turfile is intended for business and professional use and is not directed to children. We do not knowingly collect personal information from children.

If we learn that we have collected personal information from a child without appropriate consent, we will take reasonable steps to delete it.

12. Third-Party Links and Services

Turfile may contain links to third-party websites or services, such as payment pages, scheduling tools, map services, or external resources.

This Privacy Policy does not apply to third-party websites or services that we do not control. We encourage you to review the privacy policies of any third-party services you use.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make changes, we will update the effective date above and post the revised policy on our website.

Your continued use of Turfile after an updated Privacy Policy is posted means you acknowledge the updated policy.
